Questions shippers actually ask
Straight answers on coverage times, insurance, claims, detention, hazmat and payment terms. If your question is not here, call us — we will answer it in plain language.
How quickly can you cover a load?
For standard dry van freight in our core region we can often cover same-day if the request comes in before mid-morning Central. Realistically, giving us 24 to 72 hours of notice produces better pricing and a better carrier. Specialized equipment such as RGN or over-dimensional moves needs more lead time because permits and route planning are involved.
Are you a broker or a carrier?
Upper Freight Solutions operates as a licensed freight brokerage. We arrange transportation with vetted motor carriers rather than owning the fleet. That model lets us match the right equipment to your freight instead of forcing every load onto whatever trailers happen to be parked in our yard. Every carrier we use is verified for authority, insurance and safety performance before dispatch.
What insurance coverage applies to my freight?
Carriers we dispatch are required to hold a minimum of $1,000,000 in auto liability and $100,000 in cargo coverage, with a certificate of insurance on file naming Upper Freight Solutions. Higher cargo limits can be arranged for high-value shipments — tell us the declared value at quote time so we can source appropriately covered equipment.
How do I track my shipment?
Your coordinator sends driver and truck details at dispatch, confirms pickup, provides in-transit updates on multi-day runs and confirms delivery. GPS tracking is available on the majority of loads. You can also simply call or email your coordinator directly — you will get a person, not a ticket number.
What happens if my freight is damaged or short?
Note it on the delivery receipt before the driver leaves, photograph the damage, and contact us the same day. We acknowledge claims within one business day, file with the carrier on your behalf and follow the claim through. We will also tell you honestly and early what is likely to be recoverable under the carrier's liability.
Do you handle hazardous materials?
We handle certain hazmat classes with properly placarded and certified carriers. Tell us the UN number, class, packing group and quantity at quote time. Some classes and quantities we will decline — we would rather turn a load down than move it improperly.
Can you handle recurring or contracted lanes?
Yes. If you have predictable weekly or monthly volume, we can build a small dedicated carrier pool and hold a contracted rate for an agreed period. Consistent freight is easier to price well because carriers can plan around it.
What areas do you serve?
All 48 contiguous states. Our densest coverage is the Oklahoma, Texas, Kansas, Missouri and Arkansas region because of our Oklahoma City base at the I-35 and I-40 crossroads, but we run long-haul lanes to both coasts every week. We do not currently arrange freight to Alaska, Hawaii or outside the United States.
What information do you need to quote?
Origin and destination ZIP codes, commodity, total weight, pallet count or dimensions, equipment type if you know it, pickup date and any special handling requirements such as temperature, tarping or delivery appointments. The more precise the detail, the more accurate and stable the quote.
How does detention work?
Most carriers allow two hours free for loading and two for unloading. Beyond that, detention accrues hourly at the carrier's published rate. We bill detention only when it is actually incurred, and only with the driver's documented arrival and departure times attached.
Do you require a contract to start?
No long-term commitment is required. Most customers start with a single load. We do ask for a completed shipper profile with billing contact details before the first pickup, and credit terms are reviewed before Net 30 is extended.
Who do I contact outside office hours?
Our dispatch desk runs Monday to Friday, 7:00 to 19:00 Central. For loads already in transit there is an after-hours line, and the number is included in your rate confirmation. For new quotes outside those hours, email us and it will be answered first thing the next business morning.
